A11 Tender and Contract Documents
Checklist:

Problem:

  • We generate many drawings with vast amounts of blank space and every time we revise, add information or update them we generate yet more paper copies.
  • Quantity Surveyors think the thickness of the set of documents will dictate the price of the tender
  • Offgassing from PVC ring binders
  • Badly or uncoordinated sets of documents

Solution:

  • Provide as many documents as possible in electronic format so the recipient decides whether they read them on screen or print them
  • Provide 3D Model files and let the contractor decide where to generate a section and print their own drawings
  • Tender using CD or Web servers.
  • Set out document with narrow margins, to reduce the number of pages
  • Print specifications double sided,
  • Don’t shrink the font size, it must still be readable
  • Don’t shy away from telling the whole story in the tender documents, it gives the tendered the confidence that you know your building well, you have explored all the details, there is a true reflection of the requirements, an accurate price can be provided, with the confidence there are no surprises to build in safety margins for.

Consider:

  • Paper or cardboard based ring binders

Avoid:

  • Tendering using paper prints of all documents
  • Filing in PVC sheathed ring binders (risk of offgassing into filing room, library or archive)
